What does it cost to run a company brain?
Before we build a company brain for a client, we run our own. Every call, decision, client file and person we work with lives in one shared folder, in plain text. People and agents read and write in the same place.

Information was flowing through people.
In most small companies, information moves because someone copies it: from an email to the CRM, from the CRM to a spreadsheet, from a call to a report. When that person is away, the file stops.
We wanted the opposite: a company where questions go to a shared memory, not to a founder, and where AI works on the same facts as the team.
Plain files, shared by people and agents.
The company brain is a folder of plain text files on a shared drive. One file per client, per project, per person we work with, per decision. It is versioned, readable by any model, and it belongs to us, not to a software vendor.
Skills are written instructions that tell an agent how we do a task. They read and write in the same folder, so every task leaves a trace that the next one can use.
Capture
Calls, voice notes and payments arrive in the brain on their own: meeting notes, transcripts, announcements.
Link
Each new note updates the record of the people in it, about a second after it is written.
Hand over
Every work session ends with a short handover log, so the next person, or agent, picks up where it stopped.
Improve
Every Sunday, a job reviews how the skills were used and proposes improvements for a founder to approve.
Before and after.
Before How it worked
- Knowledge spread across ten subscriptions
- Assistants that forget everything between two conversations
- Every question routed to a founder
- Leaving a tool meant rebuilding everything
After How it works now
- One memory in our own files, on our own drive
- Agents that start from what the team already knows
- Questions asked to the brain, in Slack
- Models are interchangeable: the memory stays
We stopped renting our knowledge from software vendors. We own it, in plain files.
The business impact.
- €316a month for our AI subscriptions, plus €37 for hosting: less than half a part-time salary
- 500+session handovers logged since April, so nothing restarts from zero
- 148records on the people we work with, updated after every exchange
- 49skills and 8 automations running on that budget
