Case study · Inside Unkillable · Sales

Our sales follow-up now writes itself: notes, CRM and email are ready 35 minutes after the call.

A sales call used to be written down five times: notes, CRM, follow-up email, weekly report, committee brief. Now the call files itself, and the founder only reviews what was written and sends it.

Counted in our own company brain and CRM on 7 October 2026.

The challenge

One call, five copies.

Take one 45-minute client call. What was said in it used to be written down five times, by hand, in five places: notes scribbled during the call, the CRM retyped in the evening, the follow-up email written at 9 pm, the weekly report rebuilt on Friday, the committee briefed from memory.

Every copy loses a piece of the call. And every copy is typed by the person who should be selling.

What we built

A call that files itself.

We did not buy a new sales tool. We connected the ones already in place (call recording, CRM, email) to our company brain: one shared folder where every client has its own file, readable by people and by agents.

The system does the retyping. The founder keeps the two things that need judgement: what to say, and when to send it.

  1. Record

Every call a founder attends is recorded and transcribed. A rule picks them out automatically.

  2. File

An automation on our server writes the meeting notes and files them in the client folder, or in the inbox when the client is new.

  3. Update

A Claude skill reads the notes, moves the deal to the right stage in the CRM and adds a note to the account.

  4. Draft

The follow-up email is drafted in the founder's own voice and waits in Gmail, to be read, corrected and sent.

Before and after.

Before How it worked

  • Notes typed during the call, while half listening
  • CRM updated in the evening, when there was time
  • Follow-up email written from memory, late at night
  • Weekly sales report rebuilt by hand every Friday

After How it works now

  • Notes in the client folder before the next meeting starts
  • Deal stage and account note updated automatically
  • Follow-up drafted in the founder's voice, ready to review
  • Friday sales report posted in Slack by our agent
The shift

The founder stops writing about the call. The system writes, the founder decides what leaves.

The business impact.

  • 35 minbetween the end of a call and the notes, the CRM update and the email draft, all in place
  • 226call notes filed in the right folder without anyone touching them, as of October 2026
  • 10versions of the debrief skill before it filed a call the way our CEO would
  • 1human step left in the chain: read, correct, send

We never timed the old way to the minute. The five copies describe what we did by hand before; every figure above is counted in our tools.
